Administration Assistant - Service Department

If yes, this may be the role for you! Due to growth the Service Division, this company are looking for an Administration Assistant. You would be working for a company who are the world leader in their field with a turnover of £100 million!

This is an excellent opportunity based in Petersfield. As well as a competitive salary of circa £21,000, benefits include: 25 day's holiday + 8 Bank holidays, a pension scheme, onsite parking and childcare vouchers.

This is a highly administrative led role with a lot of customer liaison, but you will need to have worked for a company who operate within a Technical, Manufacturing, Engineering, Facilities or Construction led background. Other industries will be considered if you demonstrate where you may have been exposed to similar environments.

What you will be doing:

You will be working on a one of a kind team who specialise in providing planned preventative maintenance programmes and repair services for their clients. You will support the Business Support Manager and Coordinator with the day to day running of the office. You will review, create and maintain files, sometimes in preparation for new processes as well as updating and maintaining all equipment schedules. You will build contract renewals and update key contract customer spreadsheets using online portals. Monthly reporting and invoicing is also part of the role and you will also migrate service Risk Assessments and Method Statement documentation to new templates.

You will act as point of contact for all enquiries, ensuring they are dealt with efficiently, also maintaining the service inbox and issuing monthly lead time data to the Service Management team. Hotel and travel accommodation will need to be booked by yourself for engineers and weekly engineer overviews/night work/whereabouts will need to be produced.

What do we want from you?

  • Experience with Microsoft Office (primarily Word and Excel)
  • Administrative duties within a similar environment.
  • Knowledge of an MRP system.
  • Excellent Customer Service Skills.
