Temporary contact - Ongoing - Office Based

Our client is looking for an Administrator, somebody with previous admin experience, is personable, flexible and customer and client focussed over the phone and face to face. As well as admin experience, we are looking for someone who has a DBS and this is essential for the client environment that you will be working in. The role:

Your role will be to assist the Manager and obtain/maintain a Good CQC rating for the company and support him/her in ensuring that the requirements relating to Health and Safety, Local Authority, Environmental and other regulatory bodies are adhered to. It is important that you have an empathy with the elderly and have effective communication skills with all people involved in the Group. A confident telephone manner and an ability to promote the company is an essential requirement.

Your responsibilities will be:

  • To ensure that the policies and procedures with regard to resident's admissions and departures are adhered to and that all computerised and manual records are accurately completed and maintained.
  • To ensure good communication is upheld with residents and relatives and that relevant notices are displayed throughout the Home and that a monthly newsletter is produced.
  • To deal with petty cash payments and receipts and to maintain the residents record of personal monies and valuables on the CMS system.
  • To ensure that both computer and hard copy files are maintained and regularly updated and all changes are notified to the responsible individuals.
  • To forward weekly returns to the Fee Invoice Controller for Occupancy, Record of Events, Room Rates and Staff Vacancies.
  • To obtain the best quotation for all purchase orders and send recommendation to Procurement Administrator for approval.
  • To ensure that the consumables budgets are monitored and any potential overspend is discussed with the Regional Manager.
  • To ensure a Resident Agreement is signed on admission and that all relevant data is sent to the Fee Invoice Controller.
  • To ensure all financial information regarding funding is provided to Central Support Office i.e. financial validity, departure forms, fee rates and breakdowns.
  • To ensure that communication with families are maintained with regard to fee invoicing or debtors.
  • Ensure that FNC forms are completed correctly and submitted and a copy sent to the Fee Invoice Controller.
  • To ensure copies of all documents are scanned to the relevant system and/or sent to Central Support Office electronically.
  • To ensure that staff appointment and leaving procedures are strictly adhered to and that relevant paperwork is authorised, recorded and stored appropriately.
  • To assist the Manager and Deputy in interviewing non-nursing staff and maintain Human Resource records.
  • To ensure all rotas are updated, that a copy of the following week's rota is sent to the Regional Manager per policy. To be competent in the operation of the Time and Attendance system, ensuring that any additional hours have been correctly authorised and that all reporting is completed to timescale.
  • To liaise with the Manager with regard to staff vacancies, agency requirements and advertisements and wherever necessary obtain approval from the Regional Manager.
  • To maintain the Human Resources records of staff and ensure that the Regional Manager is advised of significant changes on staffing levels and disciplinary including specialist leave or long-term sickness issues.
  • To participate in the staff development programme, maintaining own statutory/mandatory training needs.
  • To ensure that the building and grounds are maintained in accordance with current statutory legislation; those quotations are organised for work to be carried out by external contractors; and to oversee the work of the in-house maintenance person.
  • To maintain clear and concise records and organise service contracts.

  • To carry out any other duties as requested by the Manager, Regional Manager or Company Directors to cover any eventualities that may arise in the running of the Home.
  • To have a daily communication meeting with the Manager and to discuss with the Regional Manager any issues that need to be raised to ensure the smooth running of the organisation.
  • To ensure all rotas are updated, that a copy of the following week's rota is sent to the Regional Manager, and that the Regional Manager is kept up to date with all daily and weekly reports.
